Setup and resource guide
How to get your practice running and deliver an engagement, from first sign in to a client watching their numbers. Sign in to follow along.
1. Set up your practice
On first sign in you are guided through setup: name your practice, add your first client, invite your team, and connect accounting. You can revisit setup any time from the overview.
2. Add and manage clients
Add each business you serve, then open the client to fill in its record: legal name and DBA, entity type, FEIN, address, industry, fiscal year end, and contacts. This is the CRM you run the engagement from. Archive a client to hide it while keeping its history.
3. Connect a client's accounting
Link the client's QuickBooks Online or NetSuite to mirror their chart of accounts and transactions. CashLinx renders live financials from the mirror, so dashboards are fast and the accounting system stays the source of truth. The live connect flow is coming as provider credentials are enabled; until then a client shows an awaiting-connection state.
4. Invite the client to their portal
From a client's portal access card, invite the business owner and their staff. They get a sign-in and a mobile-first dashboard of their live financials, plus anything waiting for approval.
5. Plan the work on the workboard
Add tasks and critical dates on each client, or from the workboard. The workboard rolls every client's due dates into a month calendar and an urgency board (overdue, due today, this week, upcoming), so nothing slips.
6. Track your time
Use the built-in timer, or add time manually, by client, project, and activity. Time rolls up by period with billable totals, so you can see where the hours go.
7. Bill for the service
Set a retainer or hourly terms per client and raise invoices. CashLinx tracks collected, outstanding, and overdue, and surfaces monthly recurring revenue on your dashboard.
8. Review and post (coming next)
AR, AP, and reconciliation are staged in CashLinx, then clear a client approval and a CPA review before posting back to the client's books, idempotently. This lands in the next phase.
